Uploading files and documents

Attach contracts, decks, and any other documents to contacts, companies, deals, and activities — then download or re-link them whenever you need them.

base bont keeps your documents next to the records they belong to. Upload a contract to a deal, a one-pager to a company, or a signed form to a contact, and it stays attached and easy to find. Files are stored securely. Workspace access follows the linked record; when an external person needs a copy, create a separately controlled secure link.

Where files live

Every contact, company, and deal detail page has a Files card. You can also attach files to an activity while you create or edit it. The same file can be linked to more than one record — for example a contract attached to both the deal and the company it belongs to.

Uploading a file

  1. Open the record (or the activity dialog) you want to attach to.
  2. In the Files card, click Add file and pick a file from your computer.
  3. On a detail page the upload starts immediately. In the activity dialog, files are attached when you save the activity, so nothing is stored until you commit.

Downloading and sharing

Use the file menu to download it or choose Share file. A secure share link can:

  • expire after 1, 7 or 30 days, at a custom time, or never;
  • require an optional password;
  • limit how many times the document can be opened; and
  • be emailed directly to an optional recipient.

Copy a newly created URL immediately; it cannot be retrieved again. The share dialog lists active and expired links with last access, and lets you revoke a link or update it. Updating invalidates the previous URL immediately.

Deleting a file

Deleting removes the file everywhere, including every linked record. If the file has several links, bont shows their count before you confirm. Revoke external shares before deleting when recipients still need time to download the document.
