Document templates and secure signing

Create DOCX templates with CRM variables and signer fields, generate a document from a deal, preview it, and send it for secure signing.

Document templates turn CRM data into repeatable contracts and other deal documents. A template is a DOCX file containing bont variables, product tables and signer placeholders. From a deal, you select the template, review the generated document and send it to the required signers.

Create a template

  1. Open Settings → App Settings → Document Templates.
  2. Open Template syntax and copy the placeholders you need into a DOCX file.
  3. Choose Upload template, then name the template and select its language.

Templates must be valid .docx files and no larger than 10 MB.

Template syntax

  • Variables — standard and custom fields from the deal, company and contacts.
  • Deal line items — a dynamic table for product name, price, quantity and total. A sample DOCX is available.
  • Field placeholders — Signature, Date, Initials and Text fields assigned to one or more signers.

Each signer should have their own placeholders. Removing or changing placeholders in the DOCX changes the fields that appear when the generated document is signed.

Generate a document from a deal

  1. Open a deal and find its Documents section.
  2. Choose Create document and select a template.
  3. Preview the generated document and check the merged CRM values and line items.
  4. Enter each signer's name and email address and choose whether signing order is preserved or random.
  5. Send the document.

The generated document stays attached to the deal. Keep signer contacts and deal data current before generating a new copy; changing the CRM record does not rewrite a document that was already sent.
